What it is

What is Microsoft Purview?

Microsoft Purview is the data protection and compliance part of Microsoft 365. It lets you label documents and emails by sensitivity, prevent sensitive data from being shared by mistake, keep or delete content on a schedule and search across mailboxes and files when needed.

For professional firms, healthcare providers and any business handling client information, these controls help meet privacy obligations and client expectations. They are also increasingly asked about in cyber insurance and client security questionnaires.

Purview is powerful and easy to misconfigure. A rushed policy can block legitimate work. We start with what you actually need to protect and roll out in stages.

Purview starts from a simple observation: most data loss is not a dramatic hack. It is an employee emailing the wrong spreadsheet, sharing a folder with “anyone with the link”, or keeping records for the wrong length of time. Purview puts guardrails around those everyday risks.

It covers three broad jobs. Information protection finds and labels sensitive data. Data loss prevention stops it leaving through the wrong door. Data governance and compliance keeps records for as long as required and lets you search them when needed.

Key features

What Microsoft Purview can do.

Sensitivity labels

Tag files and emails such as Public, Internal or Confidential, and apply encryption, markings and sharing limits that travel with the file.

Data loss prevention

Policies detect sensitive items like credit card numbers or Canadian SINs in email, SharePoint and OneDrive, then warn, block or report.

Retention policies and labels

Keep content for a set period, delete it when allowed, or declare it a record.

Audit log

Search who opened, shared, changed or deleted items. Standard audit keeps records for a defined period, longer with higher licences.

eDiscovery

Search mailboxes, files and Teams content, place holds and export results for legal or compliance matters.

Compliance Manager

Assessments and improvement actions that map your settings to common frameworks.

Insider risk and communication compliance

Advanced detections for risky behaviour and policy breaches, available with higher licences.

Sensitive information types

Built in detectors for personal, financial and health data, including Canadian identifiers.

How it works

How Microsoft Purview works.

01

Discover

Find where sensitive information lives: email, SharePoint, OneDrive and Teams.

02

Classify

Apply sensitivity labels, by users or automatically where licensing allows.

03

Protect

Policies encrypt, restrict sharing and warn users before they send sensitive data.

04

Govern and investigate

Retention rules, audit logs and eDiscovery support legal and compliance needs.

Under the hood

What happens behind the scenes.

Purview works by scanning content as it is created, shared and stored in Microsoft 365. A policy defines what to look for, where to look, and what to do on a match. For example, a DLP policy might look for credit card numbers in outgoing email and show a policy tip before the user sends.

Labels work a little differently. A user, or an automatic rule where licensing allows, applies a label, and the label carries protection settings such as encryption. Anyone who opens the file needs permission under that label, even if the file is copied elsewhere.

Business impact

How it benefits your business.

Purview reduces the chance that confidential client or patient information is sent to the wrong person or shared publicly. For firms where trust is the product, such as law, accounting, healthcare and financial services, that is a direct business protection.

It also removes uncertainty about records. Retention policies prevent important documents being deleted too early and prevent data being kept far longer than necessary, which helps with privacy obligations.

When something does go wrong, audit and eDiscovery let you answer the questions that matter quickly: what was accessed, by whom, and what do we need to disclose.

Key benefits

The benefits at a glance.

Prevent accidental data leaks

DLP warns or blocks when sensitive data is about to be shared.

Protect client and patient information

Labels and encryption travel with the file.

Meet retention requirements

Keep records for the required time, and delete when you are allowed to.

Audit what happened

Search the audit log to see who accessed or shared what.

Ready for legal requests

eDiscovery finds relevant content quickly.

Supports compliance

Evidence for privacy, insurance and client requirements.

Licensing: Core capabilities such as sensitivity labels, DLP and retention are in Business Premium and E3. Advanced features need E5 or add-ons. Plans and features change, so we confirm current licensing with you before you buy.

In practice

What this looks like day to day.

An accounting firm holds client tax files. A DLP policy detects a spreadsheet containing Social Insurance Numbers about to be emailed outside the firm. The sender sees a warning explaining the policy, and the manager is notified. The mistake is prevented, and the event is recorded for review.

This is an illustrative example of how the feature is used, not a description of a specific client.

Avoid the common problems

Mistakes we see, and how we avoid them.

01

Switching on strict rules at once

Blocking policies without a trial period interrupt work. Start in audit mode, review matches, then enforce.

02

Too many labels

Ten confusing labels will not be used. Three or four clear ones work better.

03

Ignoring existing oversharing

Labels do not fix years of open permissions. Clean up sharing as part of the project.

04

Assuming licences include everything

Advanced features need higher plans. Check before promising them to the business.

FAQ

Questions, answered.

Something else on your mind? Call 416.235.0931 or send us a note.

Is Purview only for large companies?

No. Core features such as sensitivity labels, DLP and retention are available in Business Premium. Advanced features need higher plans.

Will DLP get in the way of staff?

Not if it is designed well. We start in audit mode, review what would be blocked and tune before enforcing.

Does Purview help with privacy law compliance?

It provides controls that support compliance, but compliance depends on your policies and processes as well. We help you put both in place.

What is eDiscovery?

It is the ability to search mailboxes, files and Teams content for legal or compliance requests.

Do we need E5?

Not for the core controls. Advanced features such as insider risk and communication compliance need E5 or add-ons. We tell you honestly whether you need them.
