Replace the file server with SharePoint.
SharePoint is where your team files and intranet live in Microsoft 365. We design the structure, migrate your file server and set permissions that make sense.
What Microsoft SharePoint covers
What is Microsoft SharePoint?
SharePoint is Microsoft’s platform for shared documents, team sites and intranets. Every Microsoft 365 group and Teams team has a SharePoint site behind it. It stores files with version history, search, co-authoring and sharing controls.
For many businesses SharePoint replaces the traditional file server. Staff can open the same folders from anywhere without a VPN, and previous versions and a recycle bin protect against mistakes.
It is also where problems start if it is not planned. A single giant site, broken permissions inheritance and folders shared with everyone make files hard to find and risky to share. Structure matters.
SharePoint is organized into sites. A site might be for a department, a project, a client or the whole company. Each site has its own members, its own document libraries and its own permissions, and can be linked to a Teams team or a Microsoft 365 group.
Compared with a traditional file server, SharePoint adds things a shared drive cannot do: version history on every file, search inside documents, real time co-authoring, sharing with outside people, and metadata to classify documents instead of burying them in folders.
What Microsoft SharePoint can do.
Team sites and communication sites
Team sites are for working groups. Communication sites publish news, policies and company information.
Document libraries
Files with columns, views, filters and version history instead of endless folder trees.
Version history and recycle bins
Restore earlier versions, and recover deleted files from the recycle bin for up to 93 days.
Permissions and sharing links
Control access by group, and choose link types that share with specific people only.
Co-authoring
Several people edit a Word, Excel or PowerPoint file at the same time.
Search
Find content by words inside documents, author, date and type across sites you can access.
Sync to your computer
Sync libraries to File Explorer and Finder, with Files On-Demand.
Lists and automation
Track items in lists and connect to Power Automate for approvals and alerts.
How Microsoft SharePoint works.
Sites
Each department, project or client gets a site with its own members and permissions.
Libraries
Documents live in libraries with metadata, version history and sync to PC.
Share
Controlled links share with colleagues or approved outside parties.
Search and govern
Search finds content, while retention and labels keep it under control.
What happens behind the scenes.
Files in a SharePoint library are stored in Microsoft’s cloud, not on a server in your office. People open them in the browser, in Office apps or through a synced folder. Each save creates a new version, so earlier versions remain available.
Permissions are applied at the site, library, folder or file level. The safest design uses a small number of groups at the site level, and avoids breaking inheritance for individual folders unless there is a clear reason. Sharing links add another layer, and the sharing settings for your tenant decide what is allowed.
How it benefits your business.
SharePoint gives the business one trusted place for documents. People stop emailing attachments and wondering which version is latest, and new employees can find the information they need.
It removes the cost and risk of an ageing file server, and makes remote access simple. Staff no longer need a VPN to reach shared files, and the business has built in version history and recycle bins for recovery from mistakes.
It supports governance. Permissions, retention and sensitivity labels can all be applied to the same content, which is important when you handle client data or prepare for Copilot.
The benefits at a glance.
Access files anywhere
No VPN needed, from laptop, browser or phone.
Version history
Restore earlier versions after mistakes or ransomware.
Co-author in real time
Several people edit the same Office file at once.
Controlled sharing
Share with clients without email attachments.
Searchable knowledge
Find documents by content, not folder names.
A modern intranet
News, policies and links in one place.
Licensing: Included in Business Basic, Standard, Premium and the E plans. Plans and features change, so we confirm current licensing with you before you buy.
What this looks like day to day.
A law office moves its shared drive to SharePoint. Each practice area gets a site, each client matter a library with restricted access, and templates are stored centrally. Lawyers find the right version quickly, access matter files from home, and partners can see who accessed what.
This is an illustrative example of how the feature is used, not a description of a specific client.
Mistakes we see, and how we avoid them.
Copying the old folder tree exactly
Deep folder structures and long paths cause sync problems. Redesign before you migrate.
Broken inheritance everywhere
Unique permissions on hundreds of folders become unmanageable. Use groups and a simple model.
Open sharing defaults
Anyone links and wide external sharing expose files. Set sharing policies to match your risk.
One site for everything
A single huge library is slow and hard to secure. Split by department or project.

Learn moreCan SharePoint replace our file server?
For most businesses, yes. We plan the migration so folder structures and permissions carry over sensibly.
How much storage do we get?
Microsoft 365 business plans include 1 TB of OneDrive storage per user, and SharePoint storage that grows with the number of licences. We check your needs.
Is SharePoint secure?
It can be, with the right permissions, sharing controls and MFA. We review sharing settings and clean up risky links.
What about large CAD or media files?
We assess the workflow first. Some large file workloads need special handling, and we tell you honestly.
Do we need SharePoint if we use Teams?
Teams uses SharePoint to store files, so you have it already. Good SharePoint structure improves your Teams.
