Microsoft 365 feature

Copilot for your team, once your data is ready.

Microsoft 365 Copilot adds AI to the apps your team already uses. We make sure your permissions and data are ready first, then help you roll it out where it pays off.

What it is

What is Microsoft 365 Copilot?

Microsoft 365 Copilot is an AI assistant built into Word, Excel, PowerPoint, Outlook and Teams. It can draft documents, summarise meetings and email threads, analyse data in Excel and answer questions using the files, emails and chats the user is allowed to see.

That last point is critical. Copilot respects existing permissions, so if files are shared too widely, Copilot can surface them to people who should not see them. Cleaning up oversharing is the most important step before turning it on.

Copilot is not for everyone. It pays off for roles with a lot of reading, writing and meetings. We help you pilot it with a small group, measure the benefit and decide where it makes sense.

There are two things called Copilot. Copilot Chat is a secure AI chat available to work accounts, grounded in the web. Microsoft 365 Copilot is the paid add-on that also works with your own work data through Microsoft Graph and appears inside the apps.

Microsoft states that prompts, responses and data accessed through Microsoft Graph are not used to train the foundation models, and that Copilot works within the Microsoft 365 service boundary and respects each user’s existing access rights.

How it works

How Microsoft 365 Copilot works.

01

Prepare

Review permissions, sharing and sensitive data so Copilot only sees what it should.

02

Pilot

Give Copilot to a small group with clear use cases.

03

Measure

Check time saved and quality, and collect feedback.

04

Expand

Roll out to roles that benefit, with training and policies.

Under the hood

What happens behind the scenes.

When a user asks Copilot a question, it searches the content that user can already access in Microsoft 365, such as emails, documents and chats. It combines the most relevant pieces with the user’s request, passes them to a large language model, and returns a response with references.

Because Copilot uses existing permissions, a file that is shared too widely can appear in answers for people who should not see it. That is not a Copilot flaw. It is a reminder that data permissions need to be right first. Sensitivity labels and data loss prevention add further protection.

Business impact

How it benefits your business.

Used well, Copilot saves time on the routine parts of knowledge work: drafting, summarizing, searching and formatting. The time saved depends on the role and on how well people learn to prompt and check the results.

It can also make existing information easier to use. Meeting summaries, document search and email recaps help people catch up and make decisions faster, especially in hybrid teams.

The business benefit is greatest when the rollout is deliberate. A small pilot, clear guidance and cleaned up data give a measurable result, and avoid paying for licences that no one uses.

Key benefits

The benefits at a glance.

Faster first drafts

Start documents, emails and presentations from a prompt.

Meeting summaries and actions

Catch up quickly and capture follow ups.

Analysis in Excel

Ask questions about data in plain language.

Find information faster

Search across email, files and chats you have access to.

Uses your own data safely

Works within your Microsoft 365 permissions and compliance boundary.

Control the cost

Licence only the people who will use it.

Licensing: Licensed per user as an add-on to eligible Microsoft 365 plans. Packaging and pricing vary, so we confirm current options. Plans and features change, so we confirm current licensing with you before you buy.

In practice

What this looks like day to day.

A manager returns from a week away to hundreds of emails and several Teams threads. Copilot summarizes the key decisions and open actions, and drafts replies for the ones that need an answer. She reviews and edits them, and is caught up in an hour instead of half a day.

This is an illustrative example of how the feature is used, not a description of a specific client.

Avoid the common problems

Mistakes we see, and how we avoid them.

01

Turning it on before cleaning permissions

Oversharing becomes visible through AI search. Review sharing first.

02

Buying for everyone

Licences are per user. Start with roles that benefit most.

03

Trusting output blindly

AI can be wrong. People must review before they send or decide.

04

No usage policy

Staff need guidance on what data and tasks are appropriate.
