Microsoft 365 feature

Microsoft Entra ID, the front door to everything.

Microsoft Entra ID (formerly Azure Active Directory) decides who can sign in to Microsoft 365 and your other cloud apps, and under what conditions. We design it, harden it and manage it.

What it is

What is Microsoft Entra ID?

Microsoft Entra ID is Microsoft’s cloud identity service. Every Microsoft 365 user has an Entra ID account, and that account is the key to email, files, Teams and any other application connected to it. If an attacker gets that key, they get everything behind it.

Entra ID also connects to thousands of other business applications, so staff can sign in once and reach them all. For businesses that still run Windows Server and Active Directory in the office, Entra ID can sync with it, so people keep one username and password across both.

Most businesses use only a fraction of what Entra ID can do. Security defaults may be on, but policies, device rules and sign in protection are rarely set up properly.

Think of Entra ID as the receptionist and the security guard for your digital office. It checks identity at the door, decides which rooms each person may enter, and keeps a log of who went where. Every other Microsoft 365 service trusts it to make that decision.

Entra ID is available in tiers. A free tier ships with every Microsoft 365 subscription and covers basic sign in and security defaults. Premium P1 adds conditional access, dynamic groups and richer self service features. Premium P2 adds risk based protection, privileged identity management and access reviews.

Key features

What Microsoft Entra ID can do.

Single sign on

One work account opens Microsoft 365 and thousands of connected business applications, so staff stop juggling passwords.

Multi-factor authentication

Approval in the Authenticator app, passkeys, FIDO2 security keys and Windows Hello for Business, with number matching to stop accidental approvals.

Conditional access

Policies that combine user, device, location, application and risk to allow, challenge or block each sign in.

Self service password reset

Staff reset or unlock their own accounts after verifying identity, which reduces help desk calls.

Groups and dynamic membership

Access follows rules such as department or job title, so joiners and movers get the right access automatically.

Guest and partner access

Invite clients and suppliers as guests with limited access and clear expiry, instead of creating accounts for them.

Hybrid identity

Sync with on premises Active Directory so one identity works in the office and in the cloud.

Sign in and audit logs

A record of who signed in, from where and what happened, for investigation and compliance.

How it works

How Microsoft Entra ID works.

01

A user signs in with their work account and a second factor such as the Authenticator app, a passkey or a security key.

02

Evaluate

Entra ID checks policies: who the user is, which device, where they are and how risky the sign in looks.

03

Grant or block

Access is allowed, challenged with extra verification, limited or blocked outright.

04

Review

Sign in logs and risk reports show unusual activity so we can respond and tune the policies.

Under the hood

What happens behind the scenes.

When someone signs in, the application redirects them to Entra ID. Entra ID verifies the password or passwordless credential, then evaluates every conditional access policy that applies. It looks at who the user is, what group they belong to, which application they want, what device they are on, where in the world they are and how risky the sign in appears.

If the sign in passes, Entra ID issues a token that the application trusts, so the user does not have to authenticate again for a period. If anything looks wrong, Entra ID can ask for a second factor, require a compliant device, limit the session or block access completely.

Business impact

How it benefits your business.

The biggest business impact of Entra ID is preventing account takeover. Stolen or guessed passwords are the most common way attackers reach email, and once inside a mailbox they can read confidential messages, impersonate staff and redirect payments. Multi-factor authentication and conditional access stop most of these attempts at the door.

It also saves time. Automatic group membership, self service password reset and single sign on mean fewer tickets and quicker onboarding. When someone leaves, disabling one account cuts off access to everything connected to it.

Finally, Entra ID gives you evidence. Insurers, clients and regulators increasingly ask whether MFA is enforced for all users and administrators. Entra ID reports let you answer with facts rather than assurances.

Key benefits

The benefits at a glance.

Stops stolen passwords

Multi-factor authentication blocks the most common way attackers get into email and cloud files.

One sign in for your apps

Single sign on means fewer passwords, fewer resets and fewer support calls.

Rules based on risk

Conditional access can require stronger checks for unmanaged devices, unusual locations or admin roles.

Faster onboarding and offboarding

Create, change and disable accounts in one place, so leavers lose access immediately.

Works with your office network

Sync with on premises Active Directory, so you do not have to start again.

Helps with cyber insurance

MFA and conditional access are now common insurer requirements.

Licensing: Free tier with any subscription. Premium P1 in Business Premium and E3. Premium P2 in E5. Plans and features change, so we confirm current licensing with you before you buy.

In practice

What this looks like day to day.

Take a 30 person professional office whose staff all sign in with a password only. One employee is tricked by a phishing page, and the attacker signs in from another country at night. With a conditional access policy that requires MFA and blocks sign ins from outside Canada, the attacker is stopped at the first step, and the sign in attempt shows up in the logs for review.

This is an illustrative example of how the feature is used, not a description of a specific client.

Avoid the common problems

Mistakes we see, and how we avoid them.

01

Admins without protection

Administrator accounts need the strongest controls, separate from daily accounts, with emergency access accounts kept safe.

02

Legacy sign in left open

Old protocols such as basic authentication skip MFA. They should be blocked once nothing depends on them.

03

MFA registration gaps

Enforcing MFA without a smooth enrolment process leads to lockouts. Plan registration and recovery first.

04

Stale accounts and licences

Old accounts, unused guests and orphaned apps increase risk and cost. Regular reviews keep the tenant tidy.

FAQ

Questions, answered.

Something else on your mind? Call 416.235.0931 or send us a note.

Is Entra ID the same as Azure AD?

Yes. Microsoft renamed Azure Active Directory to Microsoft Entra ID in 2023. It is the same service with the same accounts and policies.

Do we need Entra ID if we already have Active Directory?

If you use Microsoft 365, you already have Entra ID. It can sync with your on premises Active Directory so people keep one identity.

Which plan includes conditional access?

Conditional access is part of Entra ID Premium P1, which is included with Business Premium and E3. We confirm current licensing before we recommend a plan.

Is multi-factor authentication difficult for staff?

No. Most people approve a prompt on their phone in a couple of seconds. We handle enrolment and training.

Can you clean up an existing tenant?

Yes. We review accounts, roles, apps and policies, fix risky settings and document the result.
